JOB OPPORTUNITY AIBGA is seeking to employ an ADMINISTRATIVE ASSISTANT
QUALIFICATION AND EXPERIENCE
- Diploma in Business Administration, Certificate in secretarial studies, Certificate Professional Secretary Certification or equivalent qualifications.
- A minimum of three (3) years experience in administrative/secretarial functions.
SPECIALIZED SKILLS & KNOWLEDGE REQUIRED
- Good knowledge of standard office procedures and practices.
- Ability to work on own initiative
- Ability to use Microsoft Office
- Strong interpersonal and human relation skills.
- Excellent oral and written communication skills.
- Excellent organizing and time management skills.
SPECIFIC JOB FUNCTIONS INCLUDE:
- Co-ordinate, initiate, prepare, process and/or monitor various administrative, records, reports, schedules and other documents and where applicable, ensure their timely and accurate completion. Perform liaison functions with the Board of Directors handling special requests or problems or providing other forms of assistance;
- Order and maintain an inventory of office supplies and materials.
- Perform general clerical functions such as typing, mailing, duplicating, faxing and filing using appropriate electronic equipment where applicable.
- Maintain the designated manager's appointment diary and make all related arrangements including travel, itinerary, meeting space, refreshments, etc., attend board meetings to record minutes Receive and log incoming mail and dispatch outgoing mail.
