Administrative / Human Resource Assistant

A Kingston-based dealership is seeking to recruit a suitably qualified and experienced candidate for the position of Administrative / Human Resource Assistant

The successful candidate will be required to effectively assist in the administration of the Human Resource function, and will be responsible for providing confidential, professional and secretarial administrative support to the Country Director and Finance & Administration Manager.
Key Responsibilities:

  • Provide administrative support to both the Country Manager and Finance & Administration Manager, which includes handling correspondence, drafting/typing letters, filing and retrieving documents.
  • Liaising with travel agents and hotels in the reservation of flights and accommodation. 
  • Prepare Purchase Orders for approval, and disseminate same to respective Requestor/Company. 
  • Process, verify and maintain records and documentation for the HR department, to ensure proper record keeping and accurate documentations are in place and are kept current and up to date. 
  • Update and maintain all administration, employees’ personal files, and employee training and development database. 
  • Assists in coordinating the recruitment process to ensure the filling of positions in a timely manner and the adherence to company procedures. 
  • Perform preliminary vetting of employment applications against criteria, and make initial contacts for reference checks. 
  • Prepare documentation for and monitor the Group Health & Life Insurance plans and liaise with
  • Insurance provider on claims and queries.
  • Follow up on all attendance/punctuality reports to monitor and identify any abuse or misuse of leave provisions and to monitor annual leave.
  • Update and coordinate vacation leave entitlements 
  • Prepare monthly payroll information for the Finance Department and regional company. 
  • Responsible for the procurement and distribution of uniforms to employees. 
  • Assist in coordinating staff and training functions 
  • Perform any other related duties as assigned.
Required Skills/Qualifications: 
  • Bachelors Degree in Human Resources, Management Studies, or its equivalent. 
  • At least two to three (2-3) years HR/Administrative support at a senior level. 
  • Excellent organizational, communication and interpersonal skills. 
  • Highly motivated with the ability to multitask and complete assignments within deadlines. 
  • Must exhibit professionalism, dependability, confidentiality and integrity, combined with a cooperative attitude. 
  • Proficient in MS office.
